This policy explains what I do with your personal information when you use rephil.uk, get in touch through the site, or sign up to my newsletter. I have written it in plain English.

In this policy, “I”, “me” and “my” mean Phil Le Gros, trading as RePhil. I am a sole trader and the data controller for the information described here. You can reach me at privacy@rephil.uk. I am registered with the Information Commissioner’s Office, registration number ZC107815.

If you go on to work with me as a coaching client, I will give you a separate, fuller privacy notice covering how I handle your information during our work together.

What I collect, and why

When you use my contact form, I collect your name, company, email address, LinkedIn profile, phone number, and whatever you put in your message, so I can reply and talk to you about working together. My lawful basis is my legitimate interest in responding to people who get in touch, and taking steps at your request before entering into a contract.

When you sign up to my newsletter, I collect your email address so I can send it to you. My lawful basis is your consent, and you can unsubscribe at any time using the link in any newsletter or by emailing me.

When you book a call, I use a third-party booking tool to handle scheduling. It collects your name, email address, and the details needed to arrange the call. My lawful basis is the same as for enquiries above.

When you contact me directly by email, message or phone, I keep our correspondence so I can respond and keep track of what we have discussed. My lawful basis is my legitimate interest in running the practice and dealing with enquiries.

My contact form is protected from spam by a hidden technique that collects no personal data and sets no cookies.

Keeping a working copy of our messages

If we are in active conversation – for example you are a lead or someone I am in ongoing contact with – I keep a limited working copy of our message history (WhatsApp, SMS, and email handled through my systems) so I can keep track and follow up properly. For emails, only the subject line and basic details are copied, not the body. Each message in that copy is automatically removed six months after it was sent, and then permanently purged within approximately a further 30 days. My lawful basis is my legitimate interest in running the practice efficiently, and you can object at any time by emailing me.

Who I share it with

I do not sell your personal information. I use a small number of trusted providers to run my email, newsletter, booking and contact-management systems, and they only handle your data to provide those services to me. Some are based outside the UK, including in the United States; where that is the case, your information is protected by appropriate safeguards. I will also share information where the law requires it.

How long I keep it

Newsletter sign-ups – until you unsubscribe, after which I remove you from the list.

Enquiries that do not lead to working together – up to six months from our last contact, then deleted. If you are also on the newsletter list, I keep your email address there until you unsubscribe.

Working copy of messages – as above: removed six months after each message was sent, then purged within approximately a further 30 days.

Your rights

You can ask me for a copy of the information I hold about you, to correct it, to delete it, to restrict or object to how I use it, and – where I rely on consent – to withdraw that consent. Email me at privacy@rephil.uk and I will respond within one month.

If you are unhappy with how I have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. I would rather you came to me first so I can put it right.

Cookies

My website uses only the cookies it needs to work and to stay secure. I do not use analytics, advertising or tracking cookies, and I do not build a profile of you. The cookies in use are a security cookie set by Cloudflare, a cookie that remembers your cookie-notice choice, and a security cookie set by my newsletter sign-up form. Because nothing non-essential runs, you will see a short notice rather than a consent banner – there is nothing to track.

Changes to this policy

I may update this policy from time to time. When I do, I will change the date at the top.
